Managing Multi-Day Events: Destination Weddings and Corporate Retreats

Plan one consistent sharing flow for welcome events, the main celebration, and the moments in between.

Event memories are easiest to keep when everyone knows what to do. This guide breaks the process into clear steps you can use before, during, or after a celebration.

Decide whether to use one gallery or several

A single event space keeps memories together when the same guests are attending each day. Separate galleries can be clearer when sessions have different audiences, upload rules, or hosts.

Make the QR code part of the schedule

Share the same guest link on the itinerary, welcome sign, and table cards when using one gallery. If you create separate spaces, label each QR code with its day or activity so guests know where their memories belong.

Plan for upload and retention windows

Check the event’s upload window, storage allowance, and plan retention period before the first gathering. Multi-day celebrations can produce more media than a single evening, especially when guests share video as well as photos.

Ask guests to upload throughout the event rather than all at once.
Check storage between days and adjust the plan if necessary.
Download an archive after the celebration and verify it before the retention period ends.

Coordinate additional hosts

If your plan supports additional event permissions, assign co-hosts before the event and agree who will review uploads, manage the display, and export the final collection.
